RPO’s client is seeking a highly capable and detail-oriented Cold Store Admin Supervisor to join their team in Montague Gardens, Cape Town. This urgent role is ideal for a seasoned professional with cold store administrative experience in a high-volume, food-focused environment. The successful candidate will be responsible for overseeing administrative processes, coordinating stock movements, ensuring compliance with bonded procedures, and liaising with internal and external stakeholders.


Duties & Responsibilities

Supervision of Cold Store Administration Processes

  • Manage documentation for all stock movements and ensure SOP compliance.
  • Oversee administrative staff and maintain accurate records for audits.
  • Compile operational statistics and manage stationery needs.
  • Oversee picking, issuing, and voucher generation processes.
  • Finalise delivery processes and communicate discrepancies.
  • Ensure compliance with food safety and quality protocols.

Warehouse Management System Oversight

  • Ensure accurate data capturing and processing of stock transfers.
  • Support stock take procedures and report on results.
  • Communicate outcomes to customers and management.

Stakeholder Coordination

  • Verify sales confirmations and release notes.
  • Ensure order clarity and accuracy of picking slips.
  • Provide order progress updates to customers and resolve queries.
  • Confirm and finalise deliveries with all relevant parties.

Compliance with Imported Stock & Bonded Procedures

  • Oversee receiving and system entry of imported stock.
  • Maintain the pork register and support audit preparation.
  • Update and manage the bond register and bonded inventory releases.

Sample Handling & Liaison with Authorities

  • Schedule and prepare samples for inspections.
  • Coordinate lab testing and follow-ups on releases.
  • Maintain records of sample outcomes and inspection documentation.

Minimum Requirements

  • Qualifications:

    • NQF Level 5 Certificate in Supply Chain or Office Administration (essential).
    • NQF Level 6 with knowledge of bonded procedures (preferred).
  • Experience:

    • 3–5 years in a cold store admin or similar role in the food industry (essential).
    • 5–7 years in a supervisory admin role in a cold store (preferred).
  • Knowledge & Skills:

    • Solid understanding of stock receiving, dispatch, and customs procedures.
    • Familiarity with HACCP, food safety, and WMS systems.
    • MS Office proficiency (Level 2).
    • Excellent communication, time management, and customer relations.
    • Experience working with bonded goods and during food safety audits.
    • Strong attention to detail and organisational skills.
