A leading transport and logistics company is seeking a highly organized Scheduler / Transport Coordinator to join their team in Cape Town. The successful candidate will oversee bus route scheduling, manage driver and subcontractor communications, and ensure smooth daily operations while maintaining excellent client service standards.
Duties & Responsibilities
- Schedule and monitor daily bus routes, ensuring all trips are covered efficiently.
- Enter, manage, and utilise computer systems to plan routes and track operational metrics.
- Assess trip times, resolve delays, and provide on-the-spot support to drivers and supervisors.
- Monitor service performance, comparing scheduled versus actual results, and recommend improvements.
- Maintain continuous two-way radio and telephone communication with drivers, subcontractors, supervisors, and regulators.
- Liaise with clients, supervisors, and subcontractors to communicate operational changes and updates.
- Ensure professional and courteous interactions over all communication channels.
- Proactively train supervisors and regulators on optimized routing and scheduling practices.
- Maintain accurate logs of daily events, including service hours, mileage, fuel consumption, and trip variations.
- Analyse operational data to identify trends, variances, and opportunities to improve efficiency.
- Keep Operations Manager and supervisors informed of any changes or issues in real-time.
- Handle multiple tasks simultaneously and respond promptly to service interruptions or client concerns.
- Implement alternative routing strategies to improve cost effectiveness and service balance.
- Protect confidential information and ensure compliance with company policies and procedures.
- Demonstrate proficiency in MS Word, Excel, Outlook, and Pastel.
- Maintain accurate records and documentation for all scheduled trips.
- Ensure schedules are prepared, displayed, and effectively communicated to all relevant personnel.
Minimum Requirements
Previous experience in transport scheduling or operations.
Basic computer literacy (MS Word, Excel, Outlook, and Pastel).
Strong problem-solving and organisational skills.
Ability to work under pressure and manage multiple tasks simultaneously.
Understanding of transport policies and procedures with practical application.
Excellent verbal and written communication skills.
Availability to carry a company cell phone and respond to operational needs 24/7.
